The challenge
- Month-end close was taking more than 10 working days and numbers changed between drafts.
- Trustees were receiving management accounts six to eight weeks in arrears.
- The CEO was manually rebuilding restricted fund reports in spreadsheets ahead of each board meeting.
The work we completed
- Rebuilt the chart of accounts around funds, projects and cost centres in line with the SORP.
- Migrated bookkeeping onto a cloud accounting platform with automated bank feeds and receipt capture.
- Introduced a standard month-end timetable, reconciliations checklist and board reporting pack.
- Trained the internal finance officer to own day-to-day processing with CAP as the review layer.
Measurable improvements
- Month-end close reduced from 10+ days to 2 working days.
- Management accounts delivered by working day 5 every month, versus 6 to 8 weeks previously.
- Restricted fund reporting time cut by around 15 hours per month.
- Zero prior-year adjustments in the following year's independent examination.
Impact on the charity
The board now makes funding and hiring decisions on numbers they trust, and the CEO has reclaimed a working week each month to focus on research partnerships.
